Applying for Approval of Postgraduate Education Courses in Gloucestershire
Summary of Approval Process
- Fill in an Application Form
- We will notify you (preferably by email) that your course has been approved (or contact you to clarify/amend if necessary)
- We will then send you:
Please return the Register and Evaluation Forms to the Postgraduate Centre on completion of the course, for our accountability purposes.
Please give a copy of the Reflective Notes to each course participant at the start of the session. They should complete it during the session and retain it in their own personal portfolios. The completed, kitemarked Reflective Notes form serves the dual function of being a course certificate as well as a record of the educational value of the session to the individual.
Criteria for Course Approval
The essential criteria are:
- Appropriate Learning Objectives
- The session encourages active engagement of the participants
- Time for writing Reflective Notes during the session
- Evaluation of the Session
Desirable features include:
- Session plan with aims and objectives clearly stated
- Session plan includes detailed planning of the session
- The session has varying activities
Courses should be learner-centred and have Objectives which define what learning will take place.
Some methods of encouraging active engagement of participants include small group discussions, doing a task as a pair or group, mini-presentation, role play, pre-session questionnaire, quiz, etc.
All courses must provide time for participants to make Reflective Notes during the session, towards the end. These notes not only provide a record of attendance, but also demonstrate engagement in the session, and record ideas for how we can use our new learning to improve our work. Kitemarked Reflective Notes (bearing the Deanery Kitemark and a Course reference number) will also provide evidence for the “Maintaining Good Medical Practice” section of Appraisal.
Completion of Evaluation Forms will help the organiser improve future sessions, and enable the GP Education Team to provide Quality Assurance to the Deanery that educational events are of high quality and provide effective learning opportunities for GPs.
By writing down detailed planning for a learning event, we can consider the best ways for the participants to learn. This usually includes active methods, and a mixture of activities rather than one long continuous method. By including variety, and time for reflection, we can appeal to people with differing learning styles, and encourage everyone to complete the Learning Cycle. Consider using a blank template for planning a learning event, with some hints and tips, or have a look at an example of a short session plan for a learning event.
What happens when a Course is Approved?
A member of the GP Education Team will review the application. Where the educational activity requires more clarification, a GP Educationalist will contact the Course Organiser. Course Approval will be demonstrated by the award of a Kitemark Seal of Approval.

All approved courses will be advertised on the virtual postgraduate centre for GPs cpdforum www.cpdforum.org.uk
The Education Team will supply blank sheets of Reflective Notes Forms and Evaluation Forms for the course organiser to distribute to the course participants.
Costs of Courses
Courses should be cost neutral to allow for covering of the following expenses:
- Organisers’ time and expenses
- Lecturers’ fees and expenses
- chairperson
- Rent of premises
- Materials and stationery
- Advertising
- Administrative staff, except in so far as these are already provided
- Assessment and evaluation
Step by Step of Organising a Course
- The organiser should apply to the GP Education Team for “Kitemarking approval” using the Apply On-line Application Form.
- Courses should be fully educational without any conflict of interest between the Provider Organisation and the course material
- The course should take place at a suitable venue with appropriate educational facilities for the event
- The content of each course should be relevant to the needs of Primary Care. Organisers must define educational objectives.
- Where practical, participative learning methods should be used. You should include the type of learning methods which you plan to use on the application form. You may wish to bear in mind the following:
- Speaker meeting (Lecture): implies an authoritative speaker giving a presentation
- Seminar: implies a group discussion facilitated by a speaker with known specialist knowledge
- Conference/Workshop: implies a group discussion activity directed by a skilled and trained facilitator but without any external specialist resource
- In-house practice meeting: implies a self resourced workshop providing group learning activities using only the skills of the group members. The workshops should be normally be accessible to Primary Care Workers from other practices. (Please indicate on the application form if you wish to close your education session to external applicants.)
- All courses must allow time during the session for participants to write their Reflective Notes. This is usually best done towards the end of the session, say ten minutes from the end, and followed by final comments. If it is left until after the official finishing time, participants usually do not complete their reflections, and a valuable part of the learning process is lost.
- Each participant should be given the opportunity of completing a written evaluation at the end of the course or series of meetings
- The organiser should return completed evaluation forms to the Education Team
- The organiser should return completed register of attendance to the Education Team
- All meetings must be open to visits from the local GP Education Team
